2025 Exhibitor Information & Guidelines

EXHIBITOR INFORMATION
The Illinois High School Theatre Festival invites businesses, colleges, and universities to exhibit at this year's Festival.  The exhibit area will be located at the Bone Student Center at Illinois State University in Normal, IL.  Set-up will begin at noon on Thursday, January 8, 2026.  Any college or university planning to participate in the audition process at the Festival is required to provide an exhibit that will be staffed by its personnel.  Everyone involved in staffing exhibits at the Festival must be officially registered as a participant with your company or university. 

Festival participants will visit the exhibit area during the following hours:  
Thursday, January 8, 2026:  4:00 pm - 9:30 pm
Friday, January 9, 2026:  8:00 am - 10:00 pm
Saturday, January 10, 2026:  9:00 am - 2:00 pm

Exhibitors are expected to stay through 2:00 pm on Saturday!

PLEASE NOTE:  Exhibit space is LIMITED!  Due to the increasing size of the Festival and the capacity of the facilities, exhibit spaces are at a premium and will fill quickly.

EXHIBIT REGISTRATION FEES
Exhibit space includes:  (1) - 6' table, (2) - chairs, and (2) attendee registrations
If you participate in college auditions, you get a 3rd included registration.


Final rates will be posted on August 18, 2025 - the below rates are not final
Exhibit Space for an ITA Member:  $250.00

Exhibit Space for a Non-ITA Member:  $400.00

Additional Exhibitors (ITA members):  $50.00 each

Additional Exhibitors (NON-ITA members):  $65.00 each

PAYMENT:  We accept checks (payable to the Illinois State University), PO, and credit card for Exhibit Registration.

PLEASE BE AWARE:  Each exhibit will need to provide their own table cover (cloth/drape).  There will be no table cover provided.

An online list of all exhibitors attending the 2026 Festival will be made available to all schools.  Your organization name and website address will be listed on the website and Guidebook app and will alert attendees to your presence at the Festival before the weekend arrives.


REGISTRATION DEADLINE/ CANCELLATION POLICY

DEADLINE:  The deadline to register as an exhibitor is October 17, 2025.  After October 17, an additional $50.00 registration late fee will be assessed as well as a $15.00 per person late fee.  On-site registrations will NOT be accepted.

CANCELLATION:  We will issue a refund less a $15.00 processing fee if the cancellation request is submitted by November 1, 2025.  All cancellations must be submitted in writing via email to Meg at mdrhoa1@ilstu.edu. No refunds will be provided after that date.

Arrange to have your materials arrive at the Bone Student Center at Illinois State University between January 5 - 7, 2026. ISU will not accept any boxes that arrive prior to January 5, 2026.

EXHIBITOR GUIDELINES

Please be aware that all exhibitors must provide their own audio-visual equipment and extension cords, as neither the University nor the Festival will be responsible for providing those items.

Illinois Theatre Association policies do NOT permit the selling of merchandise by exhibitors during the Festival.  Complimentary items (no food, candy or liquids) are encouraged!

Photo or video of participants is strictly prohibited without the express written permission of the Illinois Theatre Association.


We appreciate the crucial service that exhibitors and workshop leaders provide for the Festival and students, but there are a few guidelines we must clarify:

  • Any display, workshop, or promotion must clearly meet the needs of the students and/or sponsors attending the Festival.
  • Educational recruiters must be connected to accredited institutions.
  • Workshops cannot be used to actively sell products or services.
  • Workshops and exhibitor participation must be of quality and valuable to the education and support our students and sponsors.
The Festival Committee reserves the right to reject the participation of any exhibitor or workshop leader who they feel does not meet the above guidelines.

REGISTER NOW!

  1. Submit the online Exhibitor Registration Form (available August 18).  Be prepared to list the names and emails of each person that will be part of your exhibit booth.
  2. After you submit the online form, you will receive a confirmation email.  If you need to make any changes to your registration, contact Meg at mdrhoa1@ilstu.edu
  3. Please make sure to submit all materials (see above) by October 31, 2025.
  4. A final informational email will be sent out via email on December 12, 2025 that contains more Festival information that you need to know prior to your arrival on campus.
